Field note for growing Shopify operators
A practical way to retire the inventory spreadsheet before it breaks ops
Manual inventory sheets feel harmless until a growing brand adds more SKUs, suppliers, fulfillment paths, and channels. The fix does not have to start with a giant ERP migration: a guarded Zapier + Airtable workflow can remove the daily copy-paste loop while keeping operators in control.
The spreadsheet usually breaks quietly
- →Shopify, the warehouse, and the spreadsheet all show different counts.
- →Reorder points live in someone’s head or a hidden formula.
- →Supplier emails get copied from old purchase orders.
- →Overstock is only noticed after cash is already tied up.
- →Nobody knows the sheet is stale until a customer-facing issue happens.
The lightweight automation pattern
Create one operations table
Use Airtable for SKU, variant, vendor, lead time, reorder point, on-hand, committed, inbound, and owner. Keep the columns boring and explicit.
Sync data on a schedule
Pull Shopify, 3PL, and supplier updates into Airtable with Zapier instead of asking the ops team to paste CSVs every morning.
Preserve a raw sync log
Do not only overwrite the latest number. Keep timestamps and source records so mismatches can be audited instead of argued about.
Build exception views
Create views for below reorder point, aging overstock, inventory mismatch, and supplier follow-up needed. These become the daily work queue.
Automate the first nudge
When a SKU crosses a threshold, Zapier can send Slack/email alerts, open an ops task, or draft the supplier reorder email for human approval.
Keep humans in control
Automate reminders and data movement, not judgment. Humans should still approve purchase orders, supplier changes, and unusual exceptions.
The useful rule: automate the nudge, not the judgment
A strong operations workflow moves reliable data quickly, raises exceptions clearly, and leaves purchase-order approval with the person who understands supplier context. That keeps automation helpful instead of turning it into another black box.
FluxOps builds this exact setup for 50–200 person ecommerce teams: inventory syncs, overstock alerts, and supplier reorder workflows without hiring a developer or maintaining a fragile spreadsheet.
If your team is still reconciling inventory in a spreadsheet every week, start with one painful SKU family and automate the exception path first. You will learn where the real data gaps are before you commit to a larger systems project.
